Our mission is to improve the lives of the most vulnerable, through a comprehensive CBR Program addressing the needs of children and youths with disability, with components in education, health, livelihoods, and community empowerment. Our team is looking for a reliable, detail-oriented, and mission-driven NGO Administrator to support the backbone of our operations.<br \/>\nDuties and Responsibilities<br \/>\nThe NGO Administrator will play a central role in supporting the management team by supporting the daily operations of projects and programs and ensuring strict adherence to both internal controls and external regulatory requirements.<br \/>\nFinancial Management<\/p>\n<p>Maintain accurate and up-to-date financial records, including cashbooks, receipts, and journals.<br \/>\nHandle daily cash management and ensure secure and documented transactions.<br \/>\nPerform regular bank and cash reconciliations.<br \/>\nPrepare monthly, quarterly, and annual financial statements and donor reports.<br \/>\nAssist in the preparation and monitoring of budgets and support financial planning processes.<br \/>\nOversee internal and external financial audits and implement recommendations from audit findings.<\/p>\n<p>Conduct periodic financial analysis to inform program and operational decision-making. Administrative and Asset Management<\/p>\n<p>Maintain an updated inventory of all organizational assets and ensure proper tagging, monitoring, and security.<br \/>\nOversee procurement documentation and ensure transparency and accountability in the acquisition and use of resources.<br \/>\nSupport HR administration including payroll processing, statutory contributions, and maintaining staff files.<br \/>\nEnsure office administrative procedures are followed and supplies are effectively managed.<\/p>\n<p>Compliance and Policy Oversight<\/p>\n<p>Ensure the NGO\u2019s full compliance with Zambian financial regulations, tax obligations, and statutory filings.<br \/>\nMaintain organizational registration with relevant national authorities and renew licenses\/registrations as required.<br \/>\nLead the review and updating of internal policies, procedures, and control systems in line with NGO best practices and compliance standards.<br \/>\nSupport preparation and timely submission of reports to government ministries and regulatory bodies.<\/p>\n<p>Requirements<br \/>\nMinimum Qualifications &amp; Experience<\/p>\n<p>A diploma or degree in Accounting, Finance, Business Administration, or related field.<br \/>\nCertification from a recognized professional body such as ACCA, ZICA, or CIMA.<br \/>\nAt least 3 years of hands-on experience in accounting and administrative roles within a Zambian NGO setting.<\/p>\n<p>Core Competencies<br \/>\nStrong knowledge of Zambian tax laws, NGO registration procedures, and regulatory compliance.<br \/>\nHigh computer proficiency with Microsoft package. Knowledge of financial software is an asset (e.g., QuickBooks, Pastel, Excel).<br \/>\nProven ability to manage multiple priorities with attention to detail and accuracy.<br \/>\nIntegrity, confidentiality, and a strong sense of accountability.<br \/>\nCapacity to work independently within a small, resource-conscious team environment.<br \/>\nGood interpersonal and communication skills, especially in cross-functional collaboration.<br \/>\nExperience supporting donor-funded projects and reporting.<br \/>\nFamiliarity with community-based programming and grassroots operations.<br \/>\nSharing is Caring!
