\nAfrican Parks (AP) is a non-profit conservation organization that takes on responsibility for the long-term management of protected areas in partnership with governments and local communities. AP manages 23 protected areas in 13 countries covering over 20 million hectares in Angola, Benin, Central African Republic, Chad, the Democratic Republic of Congo, Malawi, Mozambique, the Republic of Congo, South Sudan, Rwanda, Zambia and Zimbabwe.
\nJob Overview
\nAfrican Parks is seeking a detail-oriented and proactive Procurement Officer to support the effective and transparent procurement of goods and services for Liuwa Plain National Park. This role is critical in ensuring that all procurement activities align with African Parks\u2019 standards, procedures, and value-for-money principles.
\nThe Procurement Officer will be responsible for managing procurement processes from requisition to delivery, ensuring compliance with internal guidelines, maintaining accurate records, liaising with suppliers, and supporting stock and contract management in collaboration with other departments. The role demands a high level of organization, integrity, and communication to support the smooth functioning of park operations and minimize procurement delays.
\nDuties and responsibilities:<\/p>\n
Develop purchase orders in consultation with department heads
\nTransmit orders to suppliers in accordance with African-Parks\/PNG standards and procedures
\nCollect quotes before contracting
\nStudy of prices before purchases
\nAggregate procurement data
\nEnsure deliveries match orders
\nTrack suppliers\u2019 payments
\nUpdate the supplier database and regularly make a prospecting list for potential suppliers
\nMaintain the purchase order log
\nMaintain up to date in collaboration with the stock manager, the database of items ordered\/purchased
\nUpdate carrier data and evaluate their performance
\nEnsure that suppliers meet delivery deadlines and report back to site management
\nTrack contracts with suppliers and carriers
\nEnsure that delivery notes are in accordance with the orders placed
\nEnsure that packing slips are accompanied by a compliant invoice
\nEnsure that prices are in line with the reality in the market
\nEnsure that the delivery time is respected and minimize delivery delays as much as possible to avoid stock-outs
\nMake a monthly procurement plan
\nResolve any disputes with suppliers in record time
\nFacilitate the process of controlling purchase invoices
\nTrack the various service delivery contracts and their payments
\nProduce the report periodically
\nPerform other tasks as requested by the hierarchy as part of its duties.<\/p>\n
Required Competencies<\/p>\n
Ability to work as part of a team.
\nProven strong writing and analytical skills.
\nGood communication skills both oral and written and able to produce meaningful reports.
\nProficiency with Microsoft Office suite, including Word, SharePoint,
\nTeams, and PowerPoint. Experience with procurement packages is an added advantage<\/p>\n
Role requirements<\/p>\n
Grade 12 School Certificate.
\nMinimum of a bachelor\u2019s degree in Purchasing and Supply or equivalent from a reputable training institution.
\n3 years of experience in local procurement of goods and services.
\nActive member of the Zambia Institute of Purchasing and Supply.
\nPrior experience working on donor-funded projects will be an added advantage.<\/p>\n
