The role reports to the Human Resources Manager and will be based at the Aller Aqua Zambia Factory, in Siavonga.<br \/>\nKEY RESPONSIBILITIES:<br \/>\n1. HR ADMINISTRATION<br \/>\nMonitoring and controlling of all leave days. i.e. sick, family responsibility, annual, compassionate etc.<br \/>\nDrafting and issuing of employee contracts<br \/>\nPayroll inputs for the main payroll<br \/>\nRegistration of employees with iCare and NHIMA<br \/>\nPosting of Job adverts<br \/>\nProviding employee information to the Human Resources Manager for monthly report<br \/>\nPlanning and assisting Human Resources Manager in trainings<br \/>\nTracking of contracts periods and expiring dates<br \/>\nEnsuring cleanliness of the offices and administration surrounding<br \/>\nEnsure any Office faults\/safety issues are reported immediately<br \/>\nArranging of accommodation and travel for new employees<br \/>\nMonitoring of overtime and checking and verifying of attendance registers<br \/>\nRandom roll call for plant employees<br \/>\nEmployee leavers Management updates<br \/>\nFleet management (Hired buses)<br \/>\nAssisting the Human Resources Manager in ensuring full legal compliance with all HR documentation and practices<br \/>\nRegularly inspection of the company unit (flats) and ensuring that there are kept in a good condition<br \/>\nDrafting of HR\/administration correspondences<br \/>\n2. DATA MANAGEMENT<br \/>\nEnsure employee personal files are updated and correctly captured in the employee Data schedule.<br \/>\nUpdate records for new staff accurately and any changes that occurs<br \/>\nReviewing payroll information vs HR records<br \/>\nConstantly checking employee registers\/access control<br \/>\n3. RECRUITMENT &amp; SELECTION<br \/>\nAssisting Line-Managers to create Job descriptions for new vacancies for lower-level positions<br \/>\nScheduling and conducting interviews<br \/>\nOnboarding \/Induction of new employees<br \/>\nTracking of all vacancies and ensuring that positions are filled on time.<br \/>\n4. INDUSTRIAL RELATIONS<br \/>\nHandling of disciplinary and grievances processes at lower levels and ensuring that these matters are dealt with according to company procedures and requirements<br \/>\nReviewing investigation reports and assisting\/advising Supervisors on the procedures\/actions to be taken<br \/>\nAssisting HR Manager in conducting refresher trainings in the code of conduct<br \/>\nTracking of all industrial matters and making recommendations<br \/>\nArranging for monthly\/quarterly meetings with Worker\u2019s representatives<br \/>\n5. STAFF WELFARE, BENEFITS &amp; COMPENSATION<br \/>\nProviding counselling to employees with issues<br \/>\nEnsuring zero errors on payroll inputs; submitting accurate inputs<br \/>\nAssisting in the development of Mental\/Health, Wellness and HIV programs<br \/>\nSupporting\/championing of Mental\/Health\/HIV employee awareness<br \/>\nAssisting in managing effective compensation and benefits processes in line with the company policy.<br \/>\n6. PERFORMANCE MANAGEMENT<br \/>\nAssisting in managing\/monitoring of performance improvement plans<br \/>\nFollow-up on employee performance goals (sending reminders for the reviews)<br \/>\nTracking of probation reviews and confirming of all employees<br \/>\nQUALIFICATION, SKILLS AND ATTRIBUTES :<br \/>\nFull Grade Twelve School Certificate (GCE)<br \/>\nDiploma\/Degree in Human Resources Management\/Public Relations\/Business Administration<br \/>\nPaid-up Member of Zambia Institute of Human Resources Management<br \/>\nAt least 2 years\u2019 experience in Human resources or related field<br \/>\nKnowledge; understanding, interpretation and application of the Zambian Labour laws such as the current Employment Code Act and the Industrial and Labour Relations Act<br \/>\nAbility to communicate effectively<br \/>\nProficiency in HR Information Systems (HRIS), payroll software, and MS Office<br \/>\nHigh levels of confidentiality and integrity<br \/>\nReliable, adaptable and innovative<br \/>\nAbility to speak the local language (Chitonga) is an added advantage.<br \/>\nSharing is Caring!
