Purpose of the role:
\nTo be an active player of the procurement function and provide day-to-day support to the internal customers (end users) for outsourced goods and services that they require. The specialist will ensure to undertake, at a minimum, sourcing, supplier relations, timely communications and processing of orders and intra-departmental improvements. They will be required to execute their duties professionally and with high integrity.
\nReports to: Procurement Manager
\nBranch: Lusaka
\nContract Duration: Two (2) Years
\nKey Duties and Responsibilities:
\nPurchasing
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Ensure all procurement scopes and specifications are comprehensive and clearly defined.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Issue RFQs\/tenders in line with approved timelines.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Evaluate tender submissions objectively and obtain necessary approvals.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Place purchase orders and actively follow up to expedite delivery.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Secure and apply optimal purchase terms for all procurements.
\nEnd-User Relations
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Conduct weekly meetings with end-user departments to review procurement needs.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Resolve user concerns and issues promptly.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Seek clarification on user requirements where necessary.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Provide orientation and guidance to end users to enhance understanding of procurement processes.
\nSupplier Relations
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Maintain professional and consistent communication with all suppliers.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Conduct post-purchase vendor performance assessments.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Identify, develop, and maintain relationships with reliable suppliers for existing and new requirements.
\nCost Saving & Value for Money
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Achieve best value for money in every procurement by securing competitive pricing.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Prioritize competitive bidding while maintaining a pool of reliable vendors.

\nQualifications & Experience

\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Bachelor\u2019s Degree in Procurement, Purchasing and Supply or equivalent field.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Member of the Zambia Institute of Purchasing and Supply (ZIPS).
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Minimum of two (2) years\u2019 relevant work experience.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0All Qualifications must be validated by Zambia Qualifications Authority (ZAQA).
