This role involves overseeing fleet operations, ensuring effective use of IT systems, and maintaining asset records. The officer will supervise drivers and promote best practices among staff for fleet and asset management in the Zambia Country Program. Key duties include utilizing PIN systems to enhance the efficiency of fleet management.<br \/>\nMAIN DUTIES AND RESPONSIBILITIES:<br \/>\nFleet management:<\/p>\n<p>Supports Programme staff in field trips weekly planning;<br \/>\nImplements and supervises usage of tools for effective fleet management \u2013 movement planning, electronic logbooks, maintenance and fuel logbooks, Power BI;<br \/>\nCritically reviews and approves all trips and related costs in Navision;<br \/>\nMonitors the movements in the field, requires regular reporting by drivers;<br \/>\nPrepares fleet reports for the line manager\/HOSO;<br \/>\nFollows up on information in PowerBI and communicates to HQ Logistics in case of any discrepancies.<br \/>\nCritically assesses data and takes appropriate actions when the data is not correct or display irregularities, suggests and implements improvements;<br \/>\nEnsures routine and preventative maintenance of the vehicles and motorbikes (incl. identification of reliable service and spare parts providers;<br \/>\nFollows up on rental vehicles, contracts with rental companies, training of drivers, checks of the cars;<br \/>\nProvides directly and\/ or organizes external trainings for drivers (defensive driving, 4\u00d74 wheel driving<br \/>\nEnsures all PIN staff adheres to PIN safety driving regulations;<br \/>\nSupports in updating Movement SOPs<\/p>\n<p>\u00a0<br \/>\nOther responsibilities:<\/p>\n<p>Reports to LM on a weekly basis;<br \/>\nEnsure that relevant logistics tools are timely updated and maintained correctly;<br \/>\nPrepares reports for the fleet on monthly basis.<br \/>\nmanaging low-value procurement processes for office and project-related needs.<br \/>\nOther tasks assigned by the line manager.<\/p>\n<p>\u00a0<br \/>\nTeam Management:<\/p>\n<p>Participates in interviews for new drivers.<br \/>\nInduction of new drivers and capacity building of drivers.<br \/>\nConducts bi-annual evaluation of drivers.<\/p>\n<p>\u00a0<br \/>\nKey Performance Indicators:<\/p>\n<p>System accuracy, number of discrepancies found in movement planning, logbooks and PowerBI analysis.<br \/>\nApprovals of movements and logbooks.<br \/>\nAll Monthly fleet reports and expenses are submitted to finance before deadline.<br \/>\nAll the purchases are done before the agreed Expected delivery date<br \/>\nAll logistics FWAs are in place: consumables, cargo transportation, passenger transportation;<br \/>\nFleet requests are completed fully, vehicles are maintained and kept in good condition;<\/p>\n<p>\u00a0<br \/>\nAccountability and Safeguarding including Prevention of Sexual Exploitation, Abuse and Harassment (SEAH)<\/p>\n<p>Carry out the duties in accordance with the PIN Code of Conduct and Key policies<br \/>\nParticipate in training and awareness raising (CoC and KP, Safeguarding\u2026)<br \/>\nSupport in the implementation of Safeguarding measures throughout the employment<br \/>\nCreate and maintain a fulfilling and protective environment<\/p>\n<p>\u00a0<\/p>\n<p>Requirements<\/p>\n<p>Qualifications<\/p>\n<p>Degree in Logistics, Supply Chain Management, transport\/fleet management or any related field.<br \/>\nAdditional skill in procurement will be added advantage.<br \/>\nProficiency in Microsoft Office applications, especially Excel and fleet management software\u2019s.<br \/>\nNot less than 3 years of experience in similar role, NGO experience will be added advantage.<br \/>\nGood organizational and time management skills: Ability to manage multiple tasks, prioritize workload, and meet deadlines.<br \/>\nEffective communication and teamwork abilities.<br \/>\nInitiative and Willingness to Learn: Demonstrates eagerness to learn and take on new challenges.<br \/>\nEthical and Professional Conduct: effective execution of duties with integrity and accountability.<br \/>\nCommunication Skills: Strong verbal and written communication
