JOB PURPOSE
\nTo manage and coordinate procurement activities for both the Lodge and Trust Institution, ensuring efficiency, cost-effectiveness, and compliance with procurement policies and procedures.
\nKEY RESPONSIBILITIES
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0Develops and implements procurement plans in line with institutional needs and budgets.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0Ensures procurement activities adhere to policies, procedures, and regulatory requirements.
\n\u00b7\u00a0\u00a0\u00a0\u00a0Develops reliable sources of supply for goods and services.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0Establishes and maintains cordial relationships with vendors and suppliers.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0Negotiates cost-effective deals while ensuring quality and timely delivery.
\n\u00b7\u00a0\u00a0\u00a0\u00a0Monitors supplier performance and compliance with contractual terms.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0Prepares and monitors bid documents to ensure compliance with the bidding process.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0Conducts bid analysis and provide recommendations on purchases.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0Tracks orders and deliveries to ensure timely receipt of goods and services.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0Monitors and enforces expediting of delayed orders with suppliers.
\n\u00b7\u00a0\u00a0\u00a0\u00a0Resolves procurement-related issues with suppliers and internal clients.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0Updates and maintains complete and accurate procurement records for audit and future reference.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0Prepares quarterly procurement reports for management review.
\n\u00b7\u00a0\u00a0\u00a0\u00a0Perform any other duties as may be assigned by the supervisor.
\nQUALIFICATIONS, SKILLS AND EXPERIENCE REQUIRED
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Grade Twelve (12) School Certificate.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Bachelor of Science in Public Procurement or equivalent.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Professional certification in procurement (e.g., CIPS, ZIPS membership)
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0At least 3 years working experience
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Knowledge of ERP procurement systems.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Strong analytical and negotiation skills.
\n\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Excellent organizational and communication skills.<\/p>\n
High ethical standards and confidentiality in procurement processes.<\/p>\n
\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Excellent communication and interpersonal skills to manage relationships with internal stakeholders and suppliers.
