The Finance Officer must comply with the Generally Accepted Accounting Principles.<br \/>\nThe position is based in the Orbis Office in Lusaka and may require some domestic travel but no more than 25% of the time.<br \/>\nLOCATION<br \/>\nLusaka, Zambia<br \/>\nREPORTING &amp; WORKING RELATIONSHIPS<br \/>\nThe Finance Officer will report to the Finance Manager, based in Lusaka and works collaboratively with the Zambia programme, administrative and finance staff. S\/he also works with the Senior Regional Finance Manager. They also liaise with colleagues at the Orbis headquarters office in New York as needed.<br \/>\nEssential Job Functions \/ Key Areas Of Responsibility<br \/>\nPerform the day-to-day processing of financial transactions to ensure that finances are maintained in an effective, up to date and accurate manner. Ensure effective financial management, reporting, and compliance of resources to support high-quality program implementation for the Country Program.<br \/>\nResponsibilities<\/p>\n<p>Receive and verify invoices and requisitions for goods and services<br \/>\nVerify that transactions comply with financial policies and procedures<br \/>\nTimely preparation, verification, and process invoices and coding of all payment documents.<br \/>\nTimely capturing of transactions in the MIP finance system<br \/>\nManage the weekly\/monthly payment run and keep supporting documentation<br \/>\nMaintain the general ledger\/spreadsheets indicating performance against approved budgets<br \/>\nActive participation in the preparation of the budgets<br \/>\nMaintain and file all transactional records (supporting documentation) in a systematic manner<br \/>\nReview and verify travel retirements\/claims and submit for approval<br \/>\nEnsure that staff advance accounts are regularly and timely updated<br \/>\nMaintain a filing system for all financial documents<br \/>\nEnsure the confidentiality and security of all financial and employee files<\/p>\n<p>Assurance<\/p>\n<p>Promote a high- level control environment<br \/>\nActively participate in audit preparation and corrective action<br \/>\nSupport capacity building on policies and procedures for Orbis staff and partners o to ensure compliance<\/p>\n<p>Perform monthly reconciliation statements<\/p>\n<p>Reconcile the accounts payable monthly<br \/>\nReconcile the accounts receivable monthly<br \/>\nPrepare and reconcile bank statements<\/p>\n<p>Grant \/ Fund Reporting<\/p>\n<p>Involved in producing financial reports for project<\/p>\n<p>Monthly financial reporting to the Finance and Senior Regional Finance Manager including:<\/p>\n<p>Maintain supporting documentation relating to financial transactions<br \/>\nProduce monthly financial reports<br \/>\nBank reconciliation reports and supporting documents<br \/>\nReceive and analyse reports from partners and ensure that they comply with the advance issued and supported by the correct documentation.<\/p>\n<p>Qualifications &amp; Experience<br \/>\nThe incumbent must have experience\/proficient knowledge in the following areas:<\/p>\n<p>Grade 12 with 5 \u2018O\u2019 levels<br \/>\nProfessional accounting qualification and skill such ACCA \/CIMA Finalist or Degree in Accounting<br \/>\nA minimum of 3 years working with an International NGO<br \/>\nConversant with Microsoft Office (Excel, Word and Outlook)<br \/>\nExperience using at least one accounting software<br \/>\nFluency in English language (reading, speaking and writing)<br \/>\nStrong knowledge of the Generally Accepted Accounting Principles<br \/>\nGrant management\/fund accounting<br \/>\nA Member of Zambia Institute of Chartered Accountants (ZICA)<br \/>\nPreparation of financial statements and financial reports<br \/>\noffice administration<\/p>\n<p>Skills &amp; Abilities<\/p>\n<p>Skilled in, and committed to, community participation\/interaction, field visits and presence in project areas<br \/>\nProven project management skills, including finance, logistics and procurement management skills.<br \/>\nStrong interpersonal and diplomacy skills with a customer-centered approach and the ability to maintain strong relationships with various stakeholders with different backgrounds.<br \/>\nExcellent spoken and written English language competence is essential<br \/>\nExcellent organizational, planning and presentation skills: ability to effectively multi-task and manage a broad spectrum of responsibilities with the appropriate sense of urgency.<br \/>\nStrong analytical and problem-solving skills.<br \/>\nHighly functional in Microsoft Word, Excel, and Outlook<br \/>\nFlexible, pro-active, and open-minded work style: the ability to work productively both independently and in a team-based environment.<br \/>\nFluent in English (verbal and written).<br \/>\nWillingness to travel locally<\/p>\n<p>ORBIS VALUES &amp; COMPETENCIES<br \/>\nAt Orbis, our values and competencies are central to how we work and grow, both as individuals and as a global organization.
