\nRole Overview
\nWe are seeking a highly organised and performance-driven\u00a0Transport & Logistics Coordinator\u00a0to support and optimise daily transport operations based in Lusaka, Zambia. This role is central to ensuring efficient execution of cross-border trucking operations along the\u00a0Zambia\u2013South Africa\u00a0and\u00a0DRC\u2013South Africa\u00a0corridors.
\nThe Coordinator will work with the current team and focus on operational control, load planning, dispatch coordination, driver communication, and performance tracking to increase fleet utilisation, reduce delays, and improve cost efficiency. This is a hands-on operational role requiring strong attention to detail, problem-solving capability, and the ability to manage high-volume, time-sensitive logistics activities.
\nKey Responsibilities
\n1. Daily Operations & Dispatch Coordination<\/p>\n
Plan and coordinate daily truck movements across Zambia, DRC, and South Africa routes.
\nAllocate loads and schedule drivers to maximise fleet utilisation and minimise empty kilometres.
\nMonitor trip progress in real-time and proactively resolve delays or disruptions.
\nMaintain accurate dispatch records and route documentation.
\nEnsure all PODs are collected in good time and presented to Finance for invoicing according to Load Confirmations\/Order requirements<\/p>\n
2. Cross-Border Coordination<\/p>\n
Prepare and verify transport documentation for cross-border shipments.
\nLiaise with clearing agents and drivers to ensure smooth customs clearance processes.
\nTrack border status updates and communicate delays to management and clients.
\nEnsure compliance with transport and transit regulations in Zambia, DRC, and South Africa.<\/p>\n
3. Fleet Monitoring & Performance Tracking<\/p>\n
Monitor vehicle tracking systems (GPS\/telematics) to oversee trip progress and driver behaviour.
\nTrack fuel usage and report anomalies.
\nRecord and report key operational KPIs including on-time delivery, turnaround time, and vehicle downtime.
\nEscalate maintenance issues promptly to minimise downtime.<\/p>\n
4. Customer & Stakeholder Communication<\/p>\n
Provide timely updates to customers regarding shipment status.
\nCoordinate with warehouse teams, loaders, and offloading points to reduce waiting times.
\nMaintain strong working relationships with drivers and operational partners.
\nEnsure professionalism in all task executions<\/p>\n
5. Administrative & Reporting Duties<\/p>\n
Maintain trip files, proof of delivery (PODs), and transport documentation.
\nCapture operational data into the Transport Management System (TMS).
\nPrepare weekly and monthly operational performance reports.
\nSupport invoice verification by ensuring accurate trip and fuel data.<\/p>\n
6. Safety & Compliance Support<\/p>\n
Ensure drivers adhere to company safety policies and road regulations.
\nReport incidents, breakdowns, and accidents in accordance with company procedures.
\nMonitor driver documentation (permits, licenses, medicals) for compliance validity.<\/p>\n

On-time departure and delivery rate
\nFleet utilisation support metrics
\nReduction in empty kilometres
\nBorder clearance turnaround time
\nFuel variance reporting accuracy
\nDocumentation accuracy rate

Required Qualifications & Experience<\/p>\n
Diploma or Bachelor\u2019s degree in Logistics, Supply Chain Management, Transport Management, or related field.
\n3\u20135 years\u2019 experience in transport coordination or logistics operations.
\nExperience working with cross-border transport in Southern Africa preferred.
\nKnowledge of Zambia\u2013South Africa and DRC\u2013South Africa transport routes is an advantage.
\nProficiency in transport management systems and Microsoft Excel.
\nExperience using vehicle tracking systems (GPS\/telematics).<\/p>\n
