TopFloor is seeking a skilled and motivated Human Capital Associate to join our dynamic team. The successful candidate will deliver high-impact HR services to TopFloor\u2019s Outsourcing clients by managing recruitment, onboarding, payroll, administration, compliance, performance management, health and safety and welfare of outsourced staff. This role is pivotal in ensuring client satisfaction, statutory compliance, and employee management in alignment with TopFloor\u2019s brand values and the minimum labour requirements by Law.<\/p>\n
Key Responsibilities<\/p>\n
Recruitment & Selection: Source, screen, and place internal and external staff per client job descriptions.
\nContract Management: Explain contract terms, facilitate signing of employee contracts and maintain updated employee files.
\nOnboarding & Induction: Conduct induction sessions for all new staff, ensuring cultural and compliance alignment.
\nPerformance Management: Conduct appraisals for Junior Support Staff (JSS) and Support Staff (SS) while ensuring that outsourced employees have been correctly appraised by the assigned clients.
\nClient Communication: Serve as the primary liaison for outsourced staff matters and service delivery.
\nPeriodic Toolbox Talks: Facilitate safety briefings and address HR queries.
\nStatutory Compliance: Ensure timely registrations, returns, and accurate submissions (e.g., NAPSA, NHIMA, ZRA).
\nPayroll Administration: Verify inputs (attendance, overtime), prepare payroll, payslips, and manage payment schedules.
\nManage petty cash assigned to the needs of the respective assigned clients.
\nLeave Management: Process leave applications and maintain updated leave schedules.
\nDisciplinary Management: Record proceedings and enforce disciplinary code.
\nEvent Participation: Support client events (training, team building) and represent TopFloor as a brand ambassador at all assigned client engagements.
\nPolicy Enforcement: Implement HR policies and disciplinary guidelines across internal and outsourced teams.
\nReporting: Prepare monthly client service summaries (entries, exits, incidents, rewards, etc.).
\nTraining Delivery: Facilitate sessions on workplace productivity, budgeting, mental wellness, and policy awareness.
\nSuccession Planning: Coach junior staff and support capacity-building initiatives.
\nWelfare Management: Monitor and support staff wellness and welfare.
\nSite Visits: Conduct periodic client site visits to assess staff engagement and service quality.<\/p>\n
Requirements<\/p>\n
Must be aligned to the TopFloor brand values.
\nBachelor\u2019s Degree in Human Resources or equivalent with bias toward Human Resources.
\nMinimum of 2 years of experience in HR, with provable track record in a similar role with experience in outsourcing and administrative tasks as explained above.
\nDemonstrated experience with HR practices especially onboarding, disciplinary case management, recruitment and and processes.
\nShould have demonstrable skill in the use of MS Office skills (Word, Spreadsheets, PowerPoint).
\nMust have working knowledge of Sage Pastel software.
\nShould understand how to use the Google based work systems (Gmail, Google Calendar and Google Drive).
\nMust be a registered member of Zambia Institute of Human Resource Management\u00a0(ZIHRM).
\nDemonstrable understanding of Labour Laws and labour laws.
\nExcellent organizational and time management skills with the ability to handle multiple tasks effectively.
\nStrong interpersonal and communication skills in both verbal and written forms.
\nAbility to maintain confidentiality and handle sensitive information with tact and discretion.
\nAbility to work collaboratively in a team environment and build effective working relationships.
\nStrong problem-solving skills and attention to detail.
\nFluent in written and spoken English.
\nFluent in verbally communicating in at least one major local language.
\nAbility to travel across client sites.
\nValid driver\u2019s license.<\/p>\n
