\nRole Purpose
\nThe Mid\u2013Senior Procurement Officer will be responsible for managing procurement, inventory coordination, and procurement governance for the Kapiri operation. The role is critical in ensuring the availability of fleet spares, workshop consumables, fuel-related requirements, and operational materials required to support workshop and transport operations across Zambia and regional routes.
\nThe position will oversee procurement execution, supplier coordination, stock control alignment, emergency procurement support, and system compliance while ensuring full adherence to company procurement procedures, SAP controls, and inventory governance standards.
\nThe role requires strong operational understanding, technical procurement capability, and the ability to work within a high-pressure transport and fleet maintenance environment where downtime directly impacts operational performance.
\nAccountabilities & Responsibility Areas<\/p>\n
Manage daily procurement activities for Kapiri workshop and operational requirements in accordance with approved procurement procedures and company governance controls.
\nSource and coordinate procurement of truck, trailer, workshop, tyre, fuel, and operational support items through approved supplier channels and Purchase Order processes.
\nEnsure all procurement activities follow the \u201cNo PO No Purchase\u201d principle and maintain proper documentation, approvals, and audit trails at all times.
\nMonitor stock levels and coordinate replenishment planning to ensure critical spares and consumables remain available to support fleet maintenance and operational continuity.
\nCoordinate emergency procurement requirements and breakdown support while maintaining procurement discipline and cost control.
\nWork closely with workshop teams, operations, and stores personnel to ensure procurement requirements are planned and executed effectively.
\nEnsure all Goods Receipts (GRPOs), Purchase Orders, supplier invoices, and supporting documentation are accurately processed and aligned between SAP and operational systems.
\nSupport and enforce alignment between SAP and FMP (Fleet Maintenance Pro) to ensure accurate inventory control and stock visibility.
\nMonitor and coordinate intercompany stock transfers between entities and workshops, ensuring proper tracking, documentation, and accountability.
\nAssist with supplier negotiations, supplier performance monitoring, and sourcing alternative suppliers where required.
\nEnsure procurement and stores activities comply with company audit requirements and inventory governance standards.
\nParticipate in stock counts, inventory audits, variance investigations, and corrective action implementation. Maintain accurate procurement records, supplier information, pricing history, and procurement tracking reports. Support the implementation and maintenance of procurement process improvements, reporting structures, and operational controls.
\nAssist in preparing procurement data, reports, and analysis required by management.<\/p>\n
Mandatory Requirements<\/p>\n
Diploma or Degree in Procurement & Supply Chain Management, Purchasing & Supply, Business Administration, Logistics, or related field.
\nMinimum CIPS Level 4 qualification required. CIPS Level 5 or progress towards MCIPS will be an added advantage.
\nMinimum 5 years\u2019 experience in procurement, stores, or inventory management within a transport, logistics, fleet, mining, or heavy vehicle environment.
\nStrong knowledge of truck and trailer spare parts, workshop consumables, tyres, and operational procurement requirements.
\nStrong hands-on experience working with SAP (preferably SAP Business One) for procurement, inventory, and goods receiving processes.
\nStrong understanding of procurement governance, inventory control, stock accountability, and supplier management.
\nStrong administrative discipline with the ability to maintain accurate procurement and inventory records.
\nMust be able to work in a fast-paced operational environment with urgent breakdown and fleet support requirements.<\/p>\n
Preferred Experience<\/p>\n
Experience working within a fleet maintenance or transport workshop environment.
\nExperience with Chinese truck brands such as Sinotruk\/Howo and Foton.
\nExperience managing emergency procurement and operational breakdown support.
\nExperience coordinating procurement activities across multiple locations or entities.
\nExperience with fuel procurement, workshop operations, tyre management, or fleet operational support will be advantageous.
\nExperience working with FMP (Fleet Maintenance Pro) or similar fleet maintenance systems.<\/p>\n

Familiarity with OEM spare parts, supplier catalogues, technical references, and cross-referencing of parts. Understanding of procurement controls, stock movement accountability, and operational inventory management within a transport and logistics environment.
\nUnderstanding of cross-border and regional operational support environments will be advantageous.<\/p>\n
