GNZ is committed to creating an environment where children\u2019s rights are protected, and communities achieve sustainable development through empowerment, leadership, and local ownership.<br \/>\nPosition Details<br \/>\nPosition Title: Senior Administration Officer<br \/>\nLocation Lusaka \u2013 Head Office<br \/>\nContract Duration: One-year contract (renewable subject to funding availability, employee performance, and mutual agreement)<br \/>\nReporting Line: Management Team<br \/>\nTasks to be undertaken<br \/>\n1. Human Resources Management<\/p>\n<p>\u00a0Lead recruitment and selection processes, including preparation of evaluation reports.<br \/>\nCoordinate orientation and induction programs for newly recruited employees.<br \/>\nPrepare and manage employment contracts, job descriptions, and staff performance appraisal documentation.<br \/>\nDraft official HR correspondence, including employment, disciplinary, and termination letters.<br \/>\nMaintain and update staff personnel files and HR records.<br \/>\n\u00a0Manage annual leave records and monitor staff leave balances.<br \/>\nConduct regular assessments of administrative systems and recommend operational improvements.<\/p>\n<p>2. Procurement, Logistics, and Inventory Management<\/p>\n<p>Supervise procurement processes and ensure strict adherence to organizational procurement policies and procedures.<br \/>\nChair tender evaluation committees and prepare procurement evaluation reports.<br \/>\nOversee logistics operations and inventory control systems under the Administration Department.<br \/>\nPrepare contracts and service agreements for vendors and monitor contract performance, renewals, and terminations.<br \/>\nDevelop and update the Annual Procurement Plan quarterly.<br \/>\nCoordinate logistical planning for monthly, quarterly, and annual operational activities and budgets.<br \/>\nEstablish and monitor procurement plans to ensure timely and efficient acquisition of goods and services.<br \/>\nEnsure accurate delivery, distribution, and accountability of supplies across all operational areas.<br \/>\nMaintain accurate records of organizational assets and inventory, including disposal plans and maintenance schedules.<br \/>\nSupervise the proper use, maintenance, and protection of organizational assets, including vehicles, computers, generators, phones, and office equipment.<br \/>\nCoordinate vehicle allocations and monitor vehicle movements according to approved schedules and operational needs.<br \/>\nOrganize staff travel, accommodation, and movement of equipment for field activities and organizational meetings.<\/p>\n<p>Qualifications and Experience<br \/>\nApplicants must meet the following minimum requirements:<\/p>\n<p>Bachelor\u2019s degree in Human Resource Management, Procurement, Logistics, Business Administration, or a related field.<br \/>\n\u00a0Membership in a relevant professional body is mandatory\u00a0(ZIHRM, ZPPA, CILT).<br \/>\nMinimum of five (5) years of relevant professional experience in administration, including human resources, procurement, and logistics management.<br \/>\nStrong knowledge of HR administration, procurement procedures, logistics coordination, and inventory management.<br \/>\nProficiency in Microsoft Office applications, particularly Excel, Word, and PowerPoint.<br \/>\nExcellent written and verbal communication skills in English.<br \/>\nStrong organizational, planning, and problem-solving skills.<br \/>\nAbility to prioritize tasks, manage deadlines, and work effectively in a multicultural and international environment.<br \/>\nDemonstrated commitment to the organization\u2019s mission, vision, values, and safeguarding principles.<\/p>\n<p>Application Guidelines<br \/>\nInterested candidates who meet the above requirements are invited to submit the following documents:<br \/>\n\u2022 Cover letter clearly outlining suitability for the position<br \/>\n\u2022 Updated Curriculum Vitae with 3 traceable references<br \/>\n\u2022 Copies of academic and professional qualifications<br \/>\n\u2022 Only shortlisted candidates will be contacted.<br \/>\n\u2022 All applications should be submitted through the following link by 31st May 2026<br \/>\nSharing is Caring!
