\n\t\t\t\tThe Adult Rape Clinic (ARC) is a leading organization providing comprehensive medico-legal, psychosocial, and community support services to survivors of sexual and gender-based violence (SGBV) in Zimbabwe. ARC seeks the services of a qualified consultant or consulting firm to design, develop, and install a robust, AI-enabled database system that enhances our programmes and finance departments through real-time reporting, automation, and seamless digital integration.Objectives of the ConsultancyTo establish an integrated, secure, and user-friendly digital system that:\u2022\tGenerates real-time programme and financial reports.\u2022\tSupports a chatbot interface to answer frequently asked questions and provide automated support to users.\u2022\tIntegrates seamlessly with ARC\u2019s official website.\u2022\tIncludes a client management and appointment booking system for both virtual and physical follow-up services.\u2022\tIs tablet-compatible to support mobile and outreach data collection.\u2022\tLinks financial expenditures with programme activities, enabling simultaneous tracking and reporting.<\/p>\n
\t\t\t\tDuties and Responsibilities
\n\t\t\t\tThe consultant will be responsible for:\u2022\tDesigning and installing a centralized, AI-powered database for both the programmes and finance units.\u2022\tDeveloping a secure cloud-based system with mobile and offline functionality.\u2022\tBuilding a smart chatbot to improve user engagement and service delivery.\u2022\tEnsuring full integration with ARC\u2019s website for visibility and user interaction.\u2022\tTraining ARC staff on system use, data protection, and basic troubleshooting.\u2022\tProviding technical support for a minimum of six months post-deployment.Deliverables\u2022\tFunctional AI-integrated database system installed and tested.\u2022\tUser manuals and training materials.\u2022\tStaff training sessions conducted.\u2022\tMaintenance and support plan post-deployment.\u2022\tFinal consultancy report with documentation and recommendations.<\/p>\n
\t\t\t\tQualifications and Experience
\n\t\t\t\tEligibility Criteria\u2022\tProven experience in designing and implementing AI-enhanced database systems for NGOs, health, or development sectors.\u2022\tTechnical expertise in financial systems integration, chatbot development, and mobile compatibility.\u2022\tStrong understanding of NGO programme and finance workflows.\u2022\tDemonstrated ability to deliver user-friendly, secure, and scalable systems.\u2022\tAt least three traceable references from similar projects.Application RequirementsInterested consultants should submit the following documents:\u2022\tTechnical proposal (max 7 pages), outlining methodology, system features, implementation plan, and timeline.\u2022\tFinancial proposal in USD, inclusive of VAT and all related costs.\u2022\tCV(s) or company profile, including technical team composition.\u2022\tSample(s) or demos of similar previous work.\u2022\tThree contactable references from recent or relevant assignments.<\/p>\n
