\n\t\t\t\tEOI Reference Number: ZSM\/EOI\/02\/2026Date of Issue: 30 March 2026Closing Date: 01 April 2026Closing Time: 16:00hrs local time1.\tINTRODUCTION AND BACKGROUNDThe Zimbabwe School of Mines (ZSM) is a leading mining and mineral-related training institution serving the mining industry across Zimbabwe and the Southern African Development Community (SADC).<\/p>\n
As part of its strategic institutional visibility and stakeholder engagement initiatives, ZSM participates annually in the Zimbabwe International Trade Fair (ZITF). The exhibition platform provides an opportunity for the institution to showcase its academic programmes, research initiatives, innovation capacity, industry partnerships, and contribution to mining sector development.<\/p>\n
For the 2026 Zimbabwe International Trade Fair, ZSM intends to develop a modern, visually compelling and digitally integrated exhibition stand measuring approximately 18 square metres. Zimbabwe School of Mines, therefore, invites suitably qualified and experienced exhibition stand design firms and contractors to submit Expressions of Interest for the design, fabrication, installation, and dismantling of the exhibition stand.<\/p>\n
\t\t\t\tDuties and Responsibilities
\n\t\t\t\t2.\tOBJECTIVE OF THE EXPRESSION OF INTERESTThe objective of this Expression of Interest is to:\u2022\tIdentify and pre-qualify competent exhibition stand designers and contractors.\u2022\tAssess the experience, capacity and technical capability of interested firms.\u2022\tShortlist qualified firms that will be invited to attend a design consultation and briefing session with the Zimbabwe School of Mines.\u2022\tSubsequently invite shortlisted firms to submit detailed technical and financial proposals for the assignment.This EOI therefore serves as a pre-qualification stage and does not constitute a request for full technical proposals at this stage.3.\tSCOPE OF SERVICESThe successful contractor will be expected to undertake the following services:\u2022\tDevelop a creative exhibition stand concept aligned with ZSM branding.\u2022\tProvide detailed 3D design renderings and layout proposals.\u2022\tFabricate and brand the stand according to approved design specifications.\u2022\tSupply and install digital display technologies such as LED screens or digital presentation equipment.\u2022\tIntegrate interactive display features that enhance visitor engagement.\u2022\tProvide designated display areas for mineral samples, models, publications and promotional materials.\u2022\tProvide a structured meeting or networking space within the stand.\u2022\tEnsure all electrical installations comply with ZITF exhibition regulations and safety standards.\u2022\tManage transportation, installation, and dismantling of the exhibition stand.\u2022\tProvide on-site technical support during the exhibition period.<\/p>\n
4.\tDESIGN CONSIDERATIONSThe proposed stand concept should:\u2022\tReflect Zimbabwe School of Mines as a centre of excellence in mining education and innovation.\u2022\tBe modern, visually striking and professionally branded.\u2022\tIncorporate digital engagement tools to enhance visitor interaction.\u2022\tMaximise efficient use of the allocated exhibition space.\u2022\tAllow smooth visitor flow and engagement.\u2022\tIncorporate sustainable and reusable materials where possible.<\/p>\n
\t\t\t\tQualifications and Experience
\n\t\t\t\t5.\tELIGIBILITY AND QUALIFICATION REQUIREMENTSInterested firms must demonstrate the following:Registration Requirements\u2022\tValid PRAZ Registration Certificate.\u2022\tValid Tax Clearance Certificate issued by ZIMRA.\u2022\tCertificate of Incorporation or Company Registration Documents.Experience\u2022\tDemonstrated experience in designing and constructing exhibition stands for trade fairs, conferences, or corporate exhibitions.\u2022\tProven track record of delivering visually appealing and professionally fabricated stands.\u2022\tExperience with digitally integrated exhibition displays will be an added advantage.<\/p>\n
Track Record\u2022\tCompletion of at least three (3) similar assignments of comparable scope and complexity.Technical Capacity\u2022\tAvailability of qualified personnel capable of undertaking design, fabrication, installation and dismantling of exhibition stands.<\/p>\n
6.\tCONSULTATION AND DESIGN BRIEFING SESSIONFollowing the evaluation of submitted Expressions of Interest, shortlisted firms will be invited to attend a consultation and design briefing session with representatives of the Zimbabwe School of Mines.During this session, the following will be discussed:\u2022\tDetailed stand design expectations\u2022\tZSM branding requirements\u2022\tExhibition layout considerations\u2022\tVisitor engagement concepts\u2022\tZITF technical requirements and stand regulationsAfter the consultation session, shortlisted firms will be invited to submit full technical and financial proposals.7.\tSUBMISSION REQUIREMENTSInterested firms must submit a complete Expression of Interest package including:i.\tLetter of Interest \u2013 A signed letter expressing interest in the assignment.ii.\tCompany Profile \u2013 Including company background, organisational structure and core services.iii.\tLegal Status Documentation \u2013 Proof of legal registration including company registration certificates.iv.\tRegistrations and Certificates\u2022\tPRAZ Registration Certificate\u2022\tValid ZIMRA Tax Clearance Certificatev.\tPortfolio of Previous Work \u2013 Evidence of similar exhibition stand projects undertaken.vi.\tExperience and References \u2013 Verifiable references for similar projects undertaken for previous clients.vii.\tKey Personnel \u2013 Details of key technical personnel available for the assignment.viii.\tContact Information \u2013 Name, position and contact details of the designated contact person.<\/p>\n
