About the Role

The Director of Human Resources and Business Administration will be responsible for performing HR-related duties, including but not limited to, hiring and orientation of new employees, benefits administration, payroll, development, compliance with HR policies, as well as oversight in business administration, finance, budgeting and procurement. The Director will also support the welfare of the staff and help build a healthy and vibrant team approach to Kenya Connect’s work.

Duties and Responsibilities:

Human Resources Duties

Manage the staff reporting and departing times, including leaves and sick days
Manage applications for job and internship positions in conjunction with Senior Leadership team
Oversee job recruitment and on-boarding of new staff and interns
In collaboration with the senior programs director and coordinators, develop key performance objectives and work plans
Lead semi–annual and annual staff appraisals in conjunction with supervisors
Ensure that accurate job descriptions are up-to-date for all employees
Responsible for reviewing and managing staff health care plans/insurance
Coordinate staff enrichment, team building and fun programs in conjunction with other staff members
In consultation with the Executive Director, support salary administration including making salary offers, reviews and alignment as per the compensation guidelines and salary structure
Manage and maintain confidentiality of employee records in compliance with the Data Protection of Personal Information Act (No. 24 of 2019)
Assist the ED to ensure the organization complies with all HR statutory reporting and labor laws
Advise management on the legal and other implications resulting from certain HR related decisions
Assist supervisors in identifying training needs for staff, identifying suitable trainers or training institutions.
Ensure health and safety standards are adhered to by all the staff members
Oversee vehicle schedules to ensure coordination to support programs
Oversee servicing of vehicles and other motorized equipment is done on time and at the most reasonable costs
Coordinate and maintain service agreements and contracts
Develop and maintain up-to-date, effective security measures to protect the organizations properties and staff
Manage personnel files including paper and digital records
Resolve workplace conflict in consultation with Leadership Team
Assist in preparation of HR and finance reports for Kenya NGO Board and US Non-Profit
Ensure compliance with data protection and ethical data collection standards

Business Administration Duties

Work alongside the Senior Staff and coordinators to align program budgets with planned activities
Review program expenditure reports and ensure financial allocations correspond to targets and deliverables
Flag financial variances that may impact program delivery and recommend corrective actions
Provide financial data to support resource mobilization efforts and donor reporting
Ensure the effective and efficient use of all the Organization resources in order to keep costs low
Create and maintain effective internal controls for equipment inventory andmanagement
Oversee budget development
Perform a high-level check of payroll reports with the accountant and sign off on wages and salary payrolls for the organization
Oversee the procurement of goods and materials for Kenya Connect, ensuring value for money, fair pricing, and compliance with organizational procurement procedures
Provide oversight to the Accountant and review and approve payments in consultation with the Executive Director.
Ensure compliance with internal policies, statutory regulations, and donor requirements related to administration and financial management

Qualifications:

A degree in Human Resource Management.
At least 5 years’ working experience in Human Resources preferably with an international or local NGO, and good knowledge of HR best practices and standards, staff medical insurance and Kenyan employment regulations.
A full member of IHRM with a valid practising license
CPA III or above will be an added advantage
Computer literacy and a high level of proficiency with MS Word, Excel, Quick books, google docs
Familiar with workplace safety laws and employee benefits regulation
Familiar with taxation laws
Must be highly proficient in English with strong report writing skills
Detail oriented with strong interpersonal and coaching skills
Experience reviewing program budgets and conducting value-for-money or cost-effectiveness analyses
