PROJECT OVERVIEW
The
WHO Implementation Research (WHO IR) Project: Implementation Research on Introducing and Scaling Up Pre-Exposure Prophylaxis (PrEP) for HIV Infection within Family Planning Services in Kenya
is a one-year mixed-methods implementation research study being conducted in selected health facilities across
Nairobi, Kisumu, Homa Bay, and Migori Counties
.
The project seeks to strengthen the integration of
Pre-Exposure Prophylaxis (PrEP)
into
Family Planning (FP)
services in Kenya. Although national policies support the integration of HIV prevention and reproductive health services, there is limited evidence on effective, acceptable, and sustainable approaches for implementing PrEP within FP clinics.
Using quantitative and qualitative research methods, the study will assess policy and health system readiness, implementation processes, and client experiences to identify barriers and facilitators to successful integration. The project will engage stakeholders at national, county, facility, and community levels to generate practical, evidence-based strategies that improve PrEP uptake and adherence. The goal is to develop a scalable, client-centred model for integrating HIV prevention into family planning services, thereby reducing HIV risk among women in Kenya.
JOB PURPOSE
The Data Manager will provide technical leadership for all data management activities within the WHO IR Project. The successful candidate will oversee the design, implementation, maintenance, quality assurance, security, and analysis of quantitative and qualitative study data generated across all project sites.
The Data Manager will be responsible for developing and managing electronic data capture systems, ensuring data quality, supporting statistical analyses, and maintaining compliance with study protocols, ethical standards, WHO requirements, and institutional Standard Operating Procedures (SOPs). The position requires close collaboration with the Principal Investigator, Project Coordinator, study teams, county partners, and collaborating institutions to ensure timely availability of high-quality data for decision-making, reporting, and scientific dissemination.
KEY DUTIES AND RESPONSIBILITIES
Data Management Systems
Lead the development, implementation, and maintenance of the project Data Management Plan.
Design, program, test, and maintain electronic data capture systems using
REDCap
, CSPro, or similar platforms.
Monitor daily data submissions and ensure timely resolution of data discrepancies and queries.
Clean, validate, code, merge, and maintain longitudinal quantitative datasets.
Manage data integration processes and develop scripts to automate data extraction, cleaning, and reporting where appropriate.
Ensure secure storage, backup, confidentiality, archiving, and controlled access to study data.
Maintain comprehensive data documentation, metadata, data dictionaries, and Standard Operating Procedures (SOPs).
Data Quality Assurance
Develop and implement data quality assurance procedures across all study sites.
Conduct routine data validation, consistency checks, completeness assessments, and quality audits.
Generate regular data quality and progress reports for project leadership.
Coordinate with field teams and research coordinators to resolve data quality issues promptly.
Support monitoring visits, internal audits, and external quality assurance activities.
Data Analysis and Reporting
Prepare analysis-ready datasets for quantitative analyses.
Conduct statistical analyses using
R
statistical software.
Support analysis of implementation research indicators, service delivery outcomes, and longitudinal study data.
Collaborate with investigators in interpreting findings and preparing technical reports, donor reports, conference presentations, manuscripts, and policy briefs.
Develop dashboards, visualizations, and data summaries to communicate key performance indicators (KPIs), project progress, and research findings.
Capacity Building and Technical Support
Train and mentor project staff on REDCap, electronic data collection, data quality assurance, and data management procedures.
Provide technical support to research assistants and project coordinators on data collection tools and electronic systems.
Strengthen staff capacity in data management best practices, documentation standards, and quality improvement.
Support implementation of data security and confidentiality procedures across all project sites.
Collaboration and Scientific Support
Participate in regular project coordination meetings and provide updates on data quality, progress, and emerging issues.
Collaborate with investigators and research teams on study design, data analysis plans, and reporting requirements.
Support preparation of datasets for publication, approved data sharing, and secondary analyses.
Participate in county and national stakeholder meetings as delegated by the Principal Investigator.
Qualifications and Experience
Education
Bachelor’s degree in Biostatistics, Applied Statistics, Health Informatics, Epidemiology, Public Health, Computer Science, or a related field.
A Master’s degree in Biostatistics, Epidemiology, Health Informatics, Data Science, Public Health, or a related discipline will be an added advantage.
Experience
Minimum of
three (3) years
of progressively responsible experience in data management and statistical analysis within health research or public health programmes.
Demonstrated experience managing large, multi-site health research datasets.
Proven experience developing and managing REDCap databases and electronic data capture systems.
Proficiency in
REDCap
,
R or
STATA
.
Previous experience supporting implementation research, clinical research, or donor-funded projects is highly desirable.
Skills and Competencies
Strong analytical, statistical, and problem-solving skills.
Excellent understanding of data management principles, database design, and data quality assurance.
Strong programming and scripting skills for data management and automation are an added advantage.
Excellent report writing, presentation, and data visualization skills.
High level of accuracy and attention to detail.

Excellent interpersonal and communication skills.
Ability to work independently and collaboratively within multidisciplinary research teams.
Demonstrated commitment to research ethics, confidentiality, and data protection.
Working Conditions
Full-time position based in Nairobi with periodic travel to participating health facilities in
Nairobi, Kisumu, Homa Bay, and Migori Counties
.
Occasional evening or weekend work may be required to meet project timelines and reporting deadlines.
