PROJECT OVERVIEW
The
WHO Implementation Research (WHO IR) Project: Implementation Research on Introducing and Scaling Up Pre-Exposure Prophylaxis (PrEP) for HIV Infection within Family Planning Services in Kenya
is a one-year mixed-methods implementation research study being conducted in selected health facilities across
Nairobi, Kisumu, Homa Bay, and Migori Counties
.
The project seeks to strengthen the integration of
Pre-Exposure Prophylaxis (PrEP)
into
Family Planning (FP)
services in Kenya. Although national policies support the integration of HIV prevention and reproductive health services, there is limited evidence on effective, acceptable, and sustainable approaches for implementing PrEP within FP clinics.
Using quantitative and qualitative research methods, the study will assess policy and health system readiness, implementation processes, and client experiences to identify barriers and facilitators to successful integration. The project will engage stakeholders at national, county, facility, and community levels to generate practical, evidence-based strategies that improve PrEP uptake and adherence. The ultimate goal is to develop a scalable, client-centred model for integrating HIV prevention into family planning services, thereby reducing HIV risk among women in Kenya.
JOB PURPOSE
The Project Coordinator will provide day-to-day leadership, coordination, and technical support for the implementation of the WHO IR Project. The successful candidate will oversee project implementation, ensure high-quality research and data management, strengthen stakeholder engagement, and coordinate project activities across national, county, facility, and community levels.
The position requires a highly motivated and organized professional with demonstrated experience in project coordination, implementation research, or health systems strengthening in Kenya. The Project Coordinator will ensure compliance with study protocols, ethical standards, quality assurance procedures, timelines, and donor requirements.
The incumbent will supervise field teams and research staff while coordinating stakeholder engagement with the Ministry of Health, WHO, County Health Management Teams (CHMTs), implementing partners, and participating health facilities. The role will also support policy reviews, key informant interviews, focus group discussions, surveys, longitudinal cohort follow-up, and Participatory Action Research (PAR) workshops.
KEY DUTIES AND RESPONSIBILITIES
Project Coordination and Implementation
Coordinate and oversee day-to-day implementation of project activities across assigned counties and health facilities.
Support the development of study materials, including standard operating procedures (SOPs), data collection tools, electronic data capture systems, and training materials.
Develop and monitor detailed work plans, budgets, implementation schedules, and activity timelines.
Coordinate field logistics, stakeholder engagements, and regulatory approvals in accordance with institutional and donor requirements.
Ensure compliance with research protocols, ethical standards, WHO guidelines, Ministry of Health policies, and Good Clinical Practice (GCP).
Support implementation and monitoring of the practice facilitation package, including Audit and Feedback and Enhanced Mentorship.
Serve as the primary project focal person by:
Maintaining regular communication with the project management team and country programme staff.
Establishing and maintaining collaboration with implementing partners and relevant stakeholders.
Promoting programme integration through participation in county technical meetings and identification of new collaboration opportunities.
Supervising, mentoring, and motivating project staff to achieve high-quality performance.
Perform any other duties assigned by the Principal Investigator.
Data Management, Monitoring and Evaluation (M&E)
Collaborate closely with the Monitoring and Evaluation team to monitor project performance indicators and ensure timely reporting.
Ensure data quality through routine supervision, monitoring visits, and data verification.
Maintain confidentiality and security of project data in accordance with institutional policies and national data protection regulations.
Support implementation of quality assurance procedures throughout the research process.
Prepare periodic progress reports and contribute to donor reporting requirements.
Capacity Building and Technical Support
Coordinate training and mentorship of research staff on study protocols, ethical conduct, electronic data capture systems, and quality assurance.
Provide ongoing technical support to field teams to ensure adherence to project standards.
Support continuous learning and capacity strengthening among project staff and stakeholders.
Stakeholder Engagement and Communication
Serve as the primary liaison between the WHO IR Project, Ministry of Health, County Health Management Teams (CHMTs), implementing partners, and participating health facilities.
Organize and document coordination meetings, technical working groups, and learning forums.
Prepare high-quality progress reports, technical briefs, presentations, and success stories for donors and partners.
Represent the project at relevant meetings, conferences, and technical forums as delegated by the Principal Investigator.
Accountability and Resource Management
Ensure prudent utilization of project funds, equipment, logistics, and other resources in accordance with organizational policies and donor guidelines.
Supervise, mentor, and support project staff, including research assistants, data collectors, and practice facilitators.
Maintain accurate records of project assets, inventories, and activity deliverables.
Promote accountability, ethical conduct, teamwork, and continuous quality improvement throughout project implementation.
Qualifications and Experience
Bachelor’s degree in Medicine, Nursing, Public Health, Epidemiology or a related field.
A Master’s degree in Public Health, Epidemiology, Project Management, or a related discipline will be an added advantage.
Experience in project coordination, implementation research, or health systems strengthening in Kenya.
Demonstrated experience in capacity building, mentorship, and engagement with County Health Management Teams (CHMTs).
Experience managing donor-funded projects (e.g. WHO, NIH, USAID, Gates Foundation, or similar agencies) is desirable.

Ability to work independently while effectively coordinating multidisciplinary teams.

Good understanding of Kenya’s health system and national health sector priorities.
Working Conditions
Full-time position based in Nairobi with frequent travel to
Kisumu, Homa Bay, and Migori Counties
.
Occasional evening or weekend work may be required to meet project deadlines or attend stakeholder meetings.
