Job Description

Main Responsibilities:
Under the supervision of the HR Coordinator, the HR Manager ensures the oversight of related processes and systems to support service delivery aligned with program activities. He/She ensures of the execution of mutli-step processes and the provision of continuing integrated services in the HR Department.
Then, the HR Manager leads the operationalization of HR systems and ensures uninterrupted, integrated HR service delivery. His/her key Responsibilities will be to: Lead and oversee all operational HR functions; Ensure quality and compliance in recruitment, employee relations, contract lifecycle management, staff development, C&B and wellbeing; Act as HR operational partner, advising and coaching field management teams on workforce planning and people management.
Tasks Description:
HR Administration
Maintain employee files, contracts, attendance records, and HR databases.
Manage leave tracking and timesheet administration.
Support payroll preparation and verification.
Ensure complete and accurate personnel documentation.
Support performance review administration.
Visa and Immigration
Coordinate visa and work permit processes.
Liaise with immigration authorities and consultants.
Maintain visa trackers and compliance records.
Administration and Travel Support
Coordinate staff travel and accommodation arrangements.
Support guesthouse administration.
Monitor administrative contracts and agreements.
Maintain trackers and administrative databases.
Develop and maintain efficient administrative filing systems.
Prepare and update administration reports and trackers as required.
Perform any additional duties assigned by the line manager.
Recruitment and Talent Management
Ensure compliance of recruitment activities from planning to onboarding.
Support workforce resourcing strategies.
Promote employee retention and engagement initiatives.
Performance Management and Staff Development
Support managers in setting objectives and evaluating staff performance.
Participating on coaching, mentoring, and career development activities.
Support the promotion of learning and development opportunities.
Monitor staff wellbeing and leave management.
HR Leadership and Operations
Ensure compliance with HR policies, procedures, and labor legislation.
Review staffing requests and recruitment plans.
Monitor HR performance indicators and workforce trends.
Support payroll processing and contribute to compensation and benefits reviews and administration.
Employee Relations and Compliance
Contribute to the employee relations matters and workplace conflicts.
Ensure compliance with Code of Conduct policies and support team members in improving their understanding of CoE.
Coordinate exit management processes and lessons learned from exit interviews.
Reporting and Communication
Produce HR metrics and workforce analytics.
Communicate HR updates and organizational initiatives.
Foster a positive workplace culture and collaborative environment.
Adhere to all organizational policies, procedures, safeguarding measures, and security requirements.
Qualifications and Competencies:
Education
Bachelor’s degree in Human Resources, Social Sciences, Business Administration, or a related discipline, with experience preferably gained within an INGO, NGO, or humanitarian organization.
A Master’s degree is highly desirable.
Professional certification in Human Resources, Administration, or a related field would be considered an asset.
Experience and Skills
Minimum 5 years of progressive HR experience.
At least 2 years of staff management experience.
Strong understanding of Nigerian labor law and HR best practices.
Demonstrated experience in recruitment, personnel administration, payroll support, contract management, and employee record management.
Experience working with government authorities, service providers, and external stakeholders.
Previous experience in a complex, multicultural, and security-sensitive operational environment is desirable.
Strong knowledge of HR policies, labor regulations, and personnel administration practices.
Experience in processing payroll, managing personnel files, and maintaining financial records.
Ability to monitor contracts, administrative agreements, and compliance requirements.
Strong proficiency in Microsoft Office Suite, particularly Excel, Word, Outlook, and PowerPoint.
Experience with HR and database management systems is an asset.
Ability to maintain discretion when handling sensitive HR and financial information.
Willingness to travel within the area of operation when required.
