Job Purpose:
The Property Manager is responsible for the overall management, administration, and performance of CBPH’s residential and commercial properties. The role ensures that properties are maintained to high standards, tenants receive quality service, and financial and operational goals are achieved.
The Property Manager works closely with the CBPH Board to protect and enhance the value of the organization’s assets while ensuring compliance with applicable regulations and policies.
Key Responsibilities
Property Operations Management
Identify CBHP houses/units with high added value and propose them for sell.
Identify best opportunities in property management and propose to invest in.
Manage the day-to-day operations of assigned residential and commercial properties.
Ensure properties are well maintained, safe, and compliant with all applicable regulations.
Conduct regular property inspections and ensure maintenance standards are met.
Coordinate repairs, renovations, and preventive maintenance activities.
Maintain accurate records related to maintenance, safety, and property conditions.
Tenant Relations and Leasing
Maintain positive and professional relationships with tenants.
Address tenant inquiries, complaints, and service requests in a timely manner.
Manage tenant onboarding, lease agreements, and renewals.
Advertise and market vacant units to attract qualified tenants.
Screen prospective tenants in accordance with CBPH policies.
Ensure compliance with lease agreements and address tenancy issues when required.
Financial Management
Collect rents and receivable accounts and monitor payment schedules.
Manage property operating expenses and ensure cost-effective use of resources.
Prepare and manage annual operating budgets for assigned properties.
Monitor financial performance and analyze variances, trends, and financial data.
Produce periodic financial reports for the CBPH Board.
Support long-term financial planning for property improvements and investments.
Coordinate financial transactions documentation physical and electronical filing.
Conduct the banks for cash better management /investment
Supervise and coordinate the financial information production and related software maintenance
Vendor and Contract Management
Identify, negotiate, and manage contracts with service providers and contractors.
Ensure services are delivered according to agreed standards and timelines.
Monitor contractor performance and maintain strong vendor relationships.
Ensure compliance with procurement and contracting procedures.
Strategic Planning and Asset Development
Develop and implement property management plans aligned with CBPH strategic objectives.
Identify opportunities to improve property value, occupancy rates, and revenue.
Conduct basic market analysis and assess rental market trends.
Recommend improvements, renovations, or upgrades that enhance asset value.
Staff Supervision (as applicable)
Supervise property staff such as maintenance personnel, security, or administrative staff.
Provide guidance, assign duties, and evaluate staff performance.
Ensure staff follow workplace policies and safety procedures.
Reporting and Governance
Prepare and present periodic operational and financial reports to the CBPH Board.
Provide updates on occupancy rates, tenant relations, financial performance, and maintenance issues.
Support the Board in making informed decisions related to property management and development.
Compliance and Risk Management
Ensure compliance with property laws, regulations, and safety standards.
Maintain proper documentation related to leases, insurance, and property operations.
Identify risks related to property operations and recommend mitigation measures.
Professional Development
Stay informed about property management best practices, legal requirements, and market developments.
Participate in training or professional development activities when relevant.
Key Requirements & Qualifications
Bachelor degree in finance or marketing or Engineering or any other field related to property management with a minimum of 5 years with experience.
Proven experience as a Property Manager or in property management.
Strong understanding of residential and commercial property management practices.
Knowledge of legal, financial, and operational aspects of property management.
Experience in budgeting, financial reporting, and property administration is preferred.
Strong organizational and time-management skills.
Excellent interpersonal and communication skills.
Negotiation and contract management skills.
Customer service and tenant-relations orientation.
Analytical and problem-solving abilities.
Ability to work independently and manage multiple priorities.
Proficiency in Microsoft Office (Word, Excel, Outlook) and property management software or databases.
