Job Description
Job Summary
The Store Auditor is responsible for safeguarding the company’s inventory by ensuring that all stock movements, storage practices, documentation, and inventory records are accurate and comply with Uncle Stan’s Foods’ policies and procedures. The role conducts regular and surprise audits of the Central Store to detect discrepancies, prevent losses, and strengthen inventory controls.
Key Responsibilities
Inventory Audit
Conduct daily, weekly, and monthly physical stock counts.
Verify physical stock against inventory records and ERP/system balances.
Investigate and report stock shortages, overages, and unexplained variances.
Perform cycle counts on high-value and fast-moving items.
Conduct surprise stock audits when required.
Goods Receiving Audit
Verify that all goods received match approved Purchase Orders POs, supplier invoices, and Goods Received Notes GRNs.
Ensure quantities, quality, expiry dates, and specifications are correct before stock is accepted.
Confirm that all receipts are properly documented and authorized.
Identify and report discrepancies immediately.
Stock Issuance Audit
Audit all stock issued to the Central Kitchen and retail outlets.
Verify that all stock issues are supported by approved Store Requisition Forms SRFs.
Ensure issued quantities match approved requests.
Monitor unauthorized or excessive stock withdrawals.
Storage & Inventory Control
Ensure products are stored according to company standards.
Verify compliance with FIFO First In, First Out and FEFO First Expired, First Out where applicable.
Inspect storage conditions, including temperature, cleanliness, pest control, and organization.
Ensure expired, damaged, or obsolete stock is properly identified, segregated, and documented.
Documentation & Compliance
Review stock cards, inventory ledgers, and system records for accuracy.
Verify that all stock movements are recorded promptly.
Ensure proper filing of inventory documents.
Confirm compliance with inventory control policies and audit procedures.
Loss Prevention
Monitor for theft, pilferage, fraud, and unauthorized stock movements.
Investigate inventory variances and identify root causes.
Recommend corrective and preventive actions.
Report suspected misconduct or control breaches to the Head of Audit.
Reporting
Prepare daily, weekly, and monthly audit reports.
Highlight inventory risks, recurring issues, and process weaknesses.
Track implementation of corrective actions.
Escalate significant findings promptly.
Process Improvement
Recommend improvements to inventory control systems.
Assist in strengthening internal controls and stock management procedures.
Participate in inventory process reviews and system improvements.
Qualifications
Bachelor’s degree or HND in Accounting, Business Administration, Supply Chain Management, Logistics, or a related field.
2 to 4 years of experience in internal audit, inventory control, warehouse operations, or retail/QSR environments.
Experience with inventory management systems or ERP software is an advantage.
Required Skills
Strong inventory auditing and reconciliation skills.
Knowledge of warehouse and inventory management practices.
Excellent analytical and investigative abilities.
High attention to detail and accuracy.
Good report writing and documentation skills.
Proficiency in Microsoft Excel and inventory/ERP systems.
Strong communication and interpersonal skills.
